Privacy Policy

This policy is drafted to reflect what RideReport actually collects and does, in plain language, in line with South Africa's Protection of Personal Information Act (POPIA). It is a good-faith starting point rather than a substitute for independent legal review — if you have concerns about how your information is handled, contact us using the details below.

1. Information we collect

RideReport's free AI Valuation Report requires no personal information — you select a make, model, year and mileage band, and we generate a report. No account, no login, no personal data collected.

For the paid Industry Value Report (R49), we collect what's needed to look up a specific vehicle and process payment:

  • The vehicle's registration plate number (or VIN, and make/model/year if you use the no-plate search)
  • Your name and email address, provided at checkout so we can deliver your report and receipt
  • Payment processed through PayFast (see §3 — we never see or store your full card details)

If you use the photo inspection feature, we temporarily process the images you upload (see §4). If you email us, we naturally receive your email address and whatever you send us.

2. How we use it

We use the information above only to:

  • Generate and deliver the report you requested
  • Process payment and send a receipt
  • Respond if you contact us
  • Keep basic aggregate usage statistics (e.g. how many reports are generated) to understand and improve the product

We do not use your information for advertising, we do not sell it, and we do not build advertising profiles from it.

3. Payment information

Payments for the Industry Value Report are processed by PayFast, a licensed South African payment gateway. When you pay, your card or bank details go directly to PayFast — RideReport never receives, sees or stores your full payment card number. We receive confirmation that payment succeeded, your name, email address, and the amount paid, which we use to generate and deliver your report.

4. Uploaded photos

If you use the AI photo inspection feature, images are compressed in your browser before upload and sent to our AI provider for analysis. We do not retain uploaded photos after your inspection result is returned — they are used only to generate that one result and are not stored, reused, or added to any training dataset by us.

5. Storage and retention

Report data is cached temporarily (typically 7–30 days) in our database to make repeat lookups faster and cheaper. Paid Industry Value Reports remain accessible via your original link for 7 days. Payment records are retained as required by South African tax and financial record-keeping law. We do not retain uploaded photos (see §4) or full payment card details (see §3) beyond what's needed to process your transaction.

6. Sharing with third parties

We share information only with the service providers needed to run RideReport, and never sell your data:

  • PayFast — processes payment for paid reports
  • Vehicle data providers — used to verify registration/VIN details and retrieve official vehicle valuations for the Industry Value Report
  • AI providers (e.g. Anthropic) — used to generate report analysis and process photo inspections
  • Infrastructure providers (e.g. Vercel, Upstash) — host the site and cache report data

Each of these providers processes data only as needed to perform their function for us, under their own applicable data protection terms.

7. Cookies and tracking

RideReport uses standard analytics (to understand traffic and usage patterns) and the Meta (Facebook) Pixel (to measure the effectiveness of any advertising we run). These may set cookies or similar identifiers in your browser. You can block these using your browser's privacy settings or an ad-blocker without affecting your ability to use the site's core features.

8. Your rights under POPIA

Under South Africa's Protection of Personal Information Act, you have the right to:

  • Ask what personal information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to delete information we no longer have a valid reason to keep
  • Object to how your information is processed
  • Lodge a complaint with the Information Regulator of South Africa if you believe we've mishandled your information

9. Security

We use industry-standard measures — encrypted connections (HTTPS), access-controlled infrastructure, and a payment gateway that is itself PCI-DSS compliant — to protect the information we handle. No online service can guarantee absolute security, but we take reasonable, appropriate steps to protect your data against loss, misuse or unauthorised access.

10. Children's privacy

RideReport is intended for use by adults researching vehicle purchases and is not directed at children. We do not knowingly collect personal information from anyone under 18.

11. Changes to this policy

If we materially change how we collect or use information, we'll update this page and revise the "Last reviewed" date at the top. Continued use of RideReport after a change means you accept the updated policy.
